What to check before sending a quote

Include a quote number, your details and the client, the issue date and the date the price stays valid, a description of each item or stage, quantity, unit, rate, discounts, any taxes and the currency. State what is included and excluded, any deposit and whether the total is fixed. Keep a copy and check the requirements that apply to your business.

When the client accepts, Convert to invoice opens the invoice generator with the same parties, lines, taxes and texts. Give the invoice its own number and check the dates before issuing it.

Rates and quantities accept up to six decimal places and an absolute value of 1 trillion per field. Totals must fit within the safe minor-unit limit. There are at most 100 lines and five additional taxes. Fixed discounts cannot exceed the absolute item subtotal; payments or refunds cannot exceed the total.

How to use this tool

Price the work: Add your details, the client and one line per product, service or stage. Quantity times unit price gives each line; line discounts and the quote discount apply before tax, and shipping is untaxed. Use Notes for scope, assumptions and exclusions, and Terms for the deposit, payment and cancellation conditions.
Set the validity: Choose a validity period of 7, 14, 30, 60 or 90 days from the issue date, or pick a custom date. The printed quote shows it under Valid until. Choose Price quote or Cost estimate as the document title. Numbers increment on this device only, so check them against your own records.
Send, accept and invoice: Print or save a PDF in A4 or US Letter. Quotes and estimates carry an acceptance block with signature, name and date lines for the client. Save quotes on this device, export them as CSV with their validity dates or create a link. Convert to invoice opens the invoice generator with the same parties, lines, taxes and texts, and the quote number as the reference.

Calculation method and assumptions

Questions before you start

Usage varies by trade and country. A quote usually gives a price for a defined job, while an estimate gives an approximate cost that can change as the work becomes clearer. Pick the title that matches your offer and say in the terms whether the total is fixed. The tool does not decide whether a document is binding.

The parties, line items, discounts, taxes, notes, terms, logo and signature. The invoice starts with an empty number field, today as the issue and due date, and the quote number as its reference. It opens as a separate copy, so your current invoice draft is kept until you choose Keep on this device.

The quote draft, saved documents, clients and items use localStorage in this browser, and the saved clients and items are shared with the invoice generator. Nothing is uploaded. Other people using this browser can read them, and clearing site data removes them. Download a PDF or a JSON backup for records you need to keep.
