AI acceptable use policy: written rules for how your staff use ChatGPT, Claude, Gemini and Copilot, from your answers within 5 working days

$290Fixed price, paid onceWithin 5 working days of your answers

Every rule comes from your answers. Not delivered as listed, refunded in full.

AIGROW writes your company's AI acceptable use policy from a written questionnaire, for $290 paid once: which AI tools staff may use and on which plan, which data may go into each, and what a person checks before AI output leaves the company. It comes with a one-page staff summary, an acknowledgement form and an approved-tools register.

What the policy covers, and what it leaves to you

A customer's security questionnaire, your cyber insurer or a procurement team asks whether you have a written AI use policy, or your staff already use AI tools with no rules. We write the policy from your answers, and you approve it before it goes to staff.

What it does
  • Lists the AI tools your staff may use and the plan for each, such as a business plan or a personal one
  • Sets which kinds of data may go into each tool: public, internal, confidential, personal data, client data and source code
  • Says what a person must review before AI output leaves the company, such as text, code or images sent to clients
  • Sets when your staff tell a client that AI wrote or made part of the work
  • Sets intellectual property and confidentiality rules for what staff put into AI tools and what they get back
  • Explains how staff ask for a new tool, how they report a mistake or a leak, and who owns the policy
What it does not do
  • It is not legal advice and we are not a law firm: we write the policy from your answers, and where you have employment-law or works council duties your lawyer should review it before it goes to staff
  • It does not make you compliant with any law, standard or contract: it writes down rules, and following them is up to you
  • It does not train your staff or record who was trained: our AI literacy training does that
  • It does not change the settings of your AI tools or monitor what your staff do with them
  • It does not guess: a tool, plan or kind of data missing from your answers is marked for you
  • It does not keep your answers: they are deleted 30 days after delivery

Before you buy

Who the policy is for, what it covers, what we will not claim and what happens to your answers.

Companies whose customers, cyber insurer or procurement team ask whether they have a written AI use policy, and companies whose staff already use tools such as ChatGPT, Claude, Gemini or Copilot without written rules. The policy is written for your tools, your data and your clients.

The approved AI tools and the plan for each; which kinds of data may go into each tool, from public and internal to confidential, personal data, client data and source code; what needs human review before it leaves the company; when to tell a client that AI wrote or made something; intellectual property and confidentiality rules; how to ask for a new tool; how to report a mistake or a leak; and who owns the policy.

A business plan and a personal or free plan of the same tool can come with different terms, for example on who controls the accounts and whether what staff type may be used to train the vendor's models. We read the current terms of each plan you name on the vendor's own site, and the policy sets the data rules for each tool and plan.

No. A policy writes down rules for your staff. On its own it does not make you compliant with any law, standard or contract, and we make no promise about how a customer, insurer or authority will judge it. Following the rules and keeping the register current is up to you.

No. We prepare the documents from your answers. We are not a law firm, and where you have employment-law or works council duties your lawyer should review the policy before it goes to staff. In Germany, for example, the Works Constitution Act (Betriebsverfassungsgesetz) gives a works council the right to be informed and consulted when the employer plans work processes that include the use of AI (section 90), and a right of co-determination over technical equipment designed to monitor the behaviour or performance of employees (section 87(1) no. 6).

The training teaches your staff, with a written module and a quiz for each role, and records who was trained. Its tools sheet is a short list of do and do not rules. The policy is the full set of rules, with a form each employee signs and a register of approved tools, written so you can show it to a customer, insurer or procurement team.

Any tool your staff use or want to use, such as ChatGPT, Claude, Gemini, Microsoft Copilot or the AI features in software you already pay for. You list them in the questionnaire, and the register has a row for each.

No. Everything happens in writing: you answer the questionnaire, and we send back the policy and its documents. We do not log in to your tools or systems, and you never send us a password.

Your answers are read by AI models whose providers are in the United States, under commercial terms where the provider does not train on them, and AIGROW does not train AI models on your data. These transfers follow the Standard Contractual Clauses adopted by the European Commission in 2021, which our data processing agreement includes. We delete your answers, any documents and our working files 30 days after delivery, or sooner if you ask.

Within 5 working days of your complete answers. If a customer or insurer needs the policy sooner, email hello@aigrow.gg before paying and we tell you whether we can meet the date.

Training and a record for your staff

If you also need staff training and its record under Article 4 of the EU AI Act, take the AI literacy training: it includes a shorter version of these rules.
