Email signature generator
Build a footer with this email signature generator. Add your logo and links, preview light and dark colors, then copy it into your mail app.
Free, no sign-up. Runs in your browser, with no AI calls.
An email signature adds your contact details to outgoing messages. This free generator offers four table layouts with a logo or photo, social links, booking link and legal text. Preview light and dark colours, then copy formatted HTML into Gmail, Outlook or Apple Mail. No account is needed, and the optional credit starts off.
Your signature
Accent contrast on white: 13.2:1.
Live preview
Enter your name to preview your signature.
Dark preview simulates changed colours. Email apps apply their own dark mode rules. The exported HTML stays the same.
Paste into the signature settings in Gmail or Outlook, then send a test email.
Install your signature
Use formatted copy for visual signature editors. Copy HTML is for software that explicitly accepts source code. Menu names can vary with your app version or language.
Gmail on desktop
- Copy the formatted signature here. In Gmail, open the settings gear, then See all settings.
- In General, find Signature, choose Create new and give it a name. Paste into the large editor box.
- Choose this signature under Signature defaults for new messages and replies. Scroll down and save changes.
- Compose a message and send it to another address. Check the links and images on a phone too.
Screen reference: the General settings page has a Signature row, a named signature list beside a large editor, and the Signature defaults menus below it.
Gmail allows up to 10,000 signature characters, including image markup. If it reports a size error, shorten your legal text or remove social links.
Official client instructionsClassic Outlook for Windows
- Copy the formatted signature. Open a new email in classic Outlook.
- In the Message ribbon, open Signature, then Signatures. Choose New and enter a name.
- Paste into Edit signature using Keep Source Formatting. Select the email account and defaults for new messages and replies.
- Save with OK. Insert the signature in a new HTML message and send a test email.
Screen reference: the Signatures and Stationery dialog has a signature list at the top left, default account menus at the top right, and the Edit signature box underneath.
Classic Outlook uses the Word rendering engine. This export uses tables, image dimensions and inline styles. Use HTML messages; plain text messages remove formatting.
Official client instructionsNew Outlook and Outlook on the web
- Copy the formatted signature, open Outlook settings and choose Accounts, then Signatures.
- Select your account, add a signature and name it. Paste into the signature editor.
- Choose when to include it in new messages and replies, then save. Older web layouts may show Mail, Compose and reply instead.
- Open a new message and check the signature before sending a test to another address.
Screen reference: the Signatures settings panel shows an account selector, Add signature, a name field, a formatted editor and default signature controls.
Your organisation may manage signatures centrally. If these settings are unavailable, ask your administrator.
Official client instructionsApple Mail on Mac
- Copy the formatted signature. In Mail, open Mail, Settings, then Signatures.
- Choose the account in the left column. Use the plus button to create and name a signature.
- Clear Always match my default message font before pasting into the preview on the right.
- Choose the signature for that account, then compose an email. Send a test and check that the image loads.
Screen reference: the Signatures pane has accounts on the left, signature names in the middle, a preview on the right and the default font checkbox below the preview.
If pasting changes the layout, try copying with Chrome or Firefox. Paste the formatted signature, rather than its HTML source.
Official client instructionsiPhone, Android and mobile mail apps
- Install the signature in your desktop or web client first. Phone preview here checks how a recipient sees the HTML.
- In the mobile app, find the account signature setting and check whether it accepts formatted content.
- If the app accepts text only, use Copy plain text here. A desktop HTML signature may not sync to the mobile app.
- Send a message from the phone itself. Check the received signature, rather than relying on the settings preview.
Screen reference: mobile signature settings usually show an account selector and a text box. A plain text box cannot preserve logo images or table layouts.
Gmail Android uses a separate mobile signature setting. Mobile app support varies, so images and formatting are not guaranteed when composing on a phone.
Official client instructionsHow to use this tool
- Add your public details
- Enter your name and the contact details you want to share. Add a public HTTPS logo or photo URL, social links and an optional booking link or legal line. Blank fields are omitted. Images load from their host; contact fields stay in your browser.
- Choose the look
- Choose Stacked, Compact, Photo beside details or Company header. Set image dimensions from 32 to 160 pixels and keep the original proportions. Pick an accent with at least 4.5:1 contrast on white. Dark preview is a simulation, and the AIGROW credit is off by default.
- Paste and send a test
- Use Copy formatted signature for Gmail, Outlook or Apple Mail visual editors. Use Copy HTML only where source code is accepted. Follow the client guide below the editor, then send a test message and inspect the received result on desktop and phone. If rich copy is blocked, select the manual formatted preview.
